Booking a DJ for a private event: lead time, technical rider, budget

Booking a DJ for a private event in France: lead time, brief, contract, technical rider and budget. The steps to settle before the night, in order.

A DJ sets the pace of a private party, from the first guests arriving to the last tracks of the night. For a birthday or a product launch, booking a DJ starts well before the date, and most of the problems on the night come from a detail missed earlier on.

This article goes through the booking steps in the order they come up. The rules on the artist's status and music rights apply to events held in France; they link to official French sources, checked in October 2026.

Before you book: lead time and brief

How far in advance to book a DJ

For a standard private event, allow three to six weeks between the first enquiry and the date. That leaves time to check the artist's availability, then to confirm the technical rider with the venue.

Two periods call for more notice: the high season, from May to September, and the end-of-year holidays. The most sought-after DJs are often booked several months ahead at those times, and geographic exclusivity (no other date in the region that weekend) adds to the lead time.

A request a few days out is still possible. It depends on the artist's diary and leaves less room to adapt the equipment to the venue.

The brief: what the DJ needs to know before quoting

Before discussing the fee, gather the information the DJ needs to quote accurately:

  • the date, the venue and its constraints (finishing time, sound limit, access for equipment);
  • the number of guests and their profile, in age as well as musical taste;
  • the type of event and when the DJ plays: drinks reception, dinner, dance floor;
  • the set times and the total length of the set;
  • the mood you are after, with a few reference tracks or artists;
  • what you do not want to hear, which is often just as useful.

The moment in the evening changes the DJ's job. Background music during dinner is played at low volume, with a selection that lets conversation carry on; the dance floor calls for different equipment and a different pace.

Booking a DJ in France: contract and declarations

The artist's status and the contract

Under French law, a performing artist is presumed to be an employee of whoever secures their presence for a performance (article L7121-3 of the Labour Code). For the organiser, this works in one of two ways, as the French Ministry of Culture explains (in French):

  • The DJ is employed by a production company: the organiser signs a performance agreement (contrat de cession) with that company, which employs and declares the artist.
  • The organiser hires the DJ directly: they become the employer. A private individual hosting a wedding or a birthday uses the Guso, the one-stop shop for occasional live events (in French), whose declaration serves as the employment contract and settles social contributions in one payment.

In every case, the agreement is put in writing before the event. The contract sets out the date, the times, the length of the set, the fee, the cancellation terms and what the organiser provides on site. A professional DJ also holds public liability insurance and can supply the certificate.

Music rights

A strictly family celebration may fall outside copyright. French intellectual property law makes an exception for private, free performances held within the family circle, a notion the courts read narrowly, according to the ARTCENA resource centre (in French).

An evening that brings together clients or colleagues falls outside that circle. The music played there must then be declared to Sacem, the French music rights society, around fifteen days before the event, according to the DRAC Normandie guidance on hiring a DJ (in French). The contract or the venue states who handles it.

Technical rider and budget: what to confirm before the date

The technical rider

The technical rider describes the equipment the DJ needs to play. It is checked against the equipment of the venue or the sound provider as soon as the venue is chosen, and usually covers:

  • the turntables or players and the mixer;
  • a sound system suited to the number of guests, with a monitor for the DJ;
  • a safe power supply close to the booth;
  • the booth itself: a stable table at the right height, protected from drinks;
  • where needed, lighting for the dance floor.

A gap between the rider and the equipment available often delays the start of the evening. When the venue supplies the sound, a technical visit or a direct exchange between the DJ and the venue's technician settles it in advance.

The budget: what the quote includes

The fee pays for the performance. Depending on the venue and the format, other items are added:

  • travel and, for a distant date, accommodation;
  • equipment hire, if the venue has none;
  • overtime, if the evening runs past the agreed finishing time.

A clear quote prices each item separately. It also sets the payment schedule, from deposit to balance, and the cancellation terms, so the invoice holds no surprises.

On the day: arrival and sound check

The DJ arrives early enough to set up and run a sound check before the guests arrive. Allow at least an hour for a set on supplied equipment, longer if the DJ brings their own sound system.

A few points, agreed in advance, let the DJ focus on the music:

  • an arrival time and access for unloading equipment;
  • a space to get ready and store belongings;
  • a contact person on site in case the programme changes;
  • the running order of the evening: speeches, cake, a guest's entrance, finishing time.

The length of the set and any breaks are written into the contract. An extension decided on the night is agreed with the artist and settled as set out in the quote.

Mistakes that complicate the evening

Four mistakes come up often:

  • Booking the DJ before the venue. The finishing time and the venue's equipment shape the quote.
  • Sending the technical rider the day before. A missing cable or table is easy to sort out three weeks ahead, far less so on the night.
  • Paying cash, without a contract. A paid artist must be declared, even for a single evening, as the DRAC guidance cited above points out.
  • Forgetting the neighbours and the venue's rules. An evening cut short at midnight because nobody checked the finishing time costs more than a shorter set planned in advance.

Conclusion

Booking a DJ for a private event is mostly settled in the weeks before: the brief and the contract first, then the technical rider and the budget, confirmed with the venue. The artist's status and music rights are handled at the same time, before the date is committed.

In
brief.

How long does a DJ set last at a private party?

A party set usually lasts three to five hours, breaks included. The exact length is set in the contract according to the running order: a DJ who also covers the drinks reception and dinner plays longer than one booked for the dance floor alone.

Yes, many DJs can bring their own sound system, priced separately in the quote. It is the simplest option when the venue has no equipment suited to the number of guests. Plan for unloading access and a longer set-up time.

Up to a point: the brief can list tracks to play and others to avoid. A fully fixed playlist, however, leaves little room for the DJ's craft, which is adapting the flow to how guests react. Most artists prefer a set of references and a list of exclusions.
